AI Event Planning Apps: Features and How to Build One

AI-powered event planning app: attendee matching, smart agenda and event insights

AI is now built into the event platforms that conference organisers use every day. In July 2026, Cvent announced 34 new AI capabilities, including an assistant that drafts a branded event from an uploaded brief and recommends venues from a plain-language description. Swapcard’s event app uses AI to suggest who attendees should meet based on their interests, roles and in-app activity.

If you are building an event app for conferences, trade shows, corporate events or weddings, the question is which AI features genuinely help planners and attendees, and how to build them responsibly. This guide covers the features worth prioritising, how they work, a practical roadmap and the risks to plan for.

Where AI helps in an event app

An event app serves three groups, and AI helps each one differently:

Organisers: faster event setup, venue sourcing, seating, communications and reporting.
Attendees: finding the right sessions and people, and getting quick answers on the day.
Sponsors and exhibitors: finding relevant leads and measuring the value of their presence.

1. Attendee matchmaking and networking

Networking is often the main reason people attend. AI matchmaking recommends people to meet based on profile data, stated goals and behaviour such as sessions viewed or booths visited. Swapcard says its suggestions are based on opt-in data only, and that organisers can set matchmaking rules by segment, ticket type or role.

For trade shows and investor events, matching can go further and build schedules. Swapcard’s Hosted Buyer feature lets buyers and sellers choose who they want to meet, then generates draft one-to-one meeting schedules that organisers review before publishing.

What to build: a short goals question during registration, opt-in profiles, recommended connections with a reason (“you both work in fintech”), and in-app meeting requests with time and table booking.

2. Personalised agendas and session recommendations

Large events can run many tracks at once. A recommendation engine can suggest sessions based on each attendee’s role, interests and past choices, and update suggestions when sessions fill up or change rooms. Cvent’s Attendee Assistant, for example, lets attendees ask questions, build their schedule and discover recommended sessions and connections inside the event app.

What to build: a “My agenda” view with recommendations, live capacity indicators, conflict warnings and push reminders the attendee controls.

3. An AI concierge for attendees

Most on-site questions repeat: where is Hall B, when does lunch start, how do I scan a badge. A conversational assistant grounded in your event data (agenda, maps, FAQs, speaker bios) can answer them instantly. Swapcard’s Sherlock assistant, currently in beta, answers questions, recommends sessions and exhibitors, and can schedule meetings from the mobile app.

What to build: a chat assistant that answers only from approved event content, hands over to staff for anything it cannot answer, and works in the languages your attendees speak.

4. AI tools for organisers

This is where AI saves the most time today. Cvent has announced or released assistant features for event creation from existing documents and venue recommendations, an AI seating assistant, and an Insights capability that answers plain-language questions about registrations, check-ins, session attendance and revenue. Eventbrite added AI tools that generate event descriptions, email copy and ad copy for organisers.

What to build: AI drafting for event pages and emails, natural-language reporting on your event data, and seating or room-allocation suggestions that planners review and adjust.

5. Attendance forecasting and no-show reduction

Registered attendees do not all show up, which affects catering, room sizes and sponsor expectations. A forecasting model trained on your own past events (registration timing, ticket type, engagement with emails and the app) can estimate turnout per session and flag likely no-shows. Use the predictions to send well-timed reminders, release seats to waitlists and plan catering. The accuracy depends entirely on having clean historical data, so new platforms should start with simple rules.

6. Sponsor and exhibitor lead tools

Exhibitors want to know who visited, who is a good lead and what to do next. Badge scanning, lead qualification and AI-recommended leads based on attendee interest are now standard features in platforms such as Swapcard. Export to the sponsor’s CRM is essential.

A practical build roadmap

Phase	What to build	Why
1. Core app	Registration and payments, agenda, maps, push notifications, check-in, sponsor pages	Reliability on the day matters most
2. Smart attendee experience	Session recommendations, opt-in matchmaking, meeting booking, AI concierge	Biggest impact on attendee satisfaction
3. Organiser intelligence	AI content drafting, natural-language reporting, attendance forecasting, lead tools	Saves planner time once data builds up
4. Scale	Multi-event management, white-label branding, hybrid streaming, integrations	Needed for platforms serving many organisers

Typical stack: React Native or Flutter apps for attendees, a web dashboard for organisers, a Node.js or Python backend with PostgreSQL and Redis, Stripe or Razorpay for payments, hosted language models for the concierge and content tools, a vector database for searching event content, and your own models for recommendations and forecasting. Design the attendee app to work offline, since venue Wi-Fi is often unreliable.

Eoxys builds these platforms through our mobile and web app development and AI and machine learning services. Our work includes the DJ PlayNow music and events app, featured on our home page; see more projects in our portfolio.

What it costs

The budget depends on whether you are building an app for your own events or a platform for many organisers, the number of apps (attendee, organiser, exhibitor, check-in), the AI features in the first release, integrations (ticketing, CRM, streaming, payments) and the scale of your largest event. AI features also add running costs that grow with usage. We scope this with you and give a written estimate rather than a one-size-fits-all price.

Risks and limits

Privacy: attendee profiles, location in the venue and meeting history are personal data under the GDPR and India’s DPDP Rules, 2025. Make matchmaking opt-in and let attendees control what others see.
Biometrics: face-recognition check-in uses biometric data, which needs explicit consent and a non-biometric alternative. The EU AI Act bans emotion recognition in workplaces and education, so avoid camera-based “sentiment scoring” of attendees.
Wrong answers: an AI concierge must answer only from approved event content and say when it does not know.
AI disclosure: tell attendees when they are chatting with an AI, as the EU AI Act’s transparency rules require from August 2026.
Day-of reliability: AI features should never block core functions such as tickets, check-in and the agenda.

FAQ

Which AI feature should an event app add first?

For conferences and trade shows, session recommendations and opt-in matchmaking usually add the most value for attendees. For organisers, AI drafting of event content and plain-language reporting save time immediately without needing years of data.

Do we need lots of historical data?

Not for every feature. Matchmaking, recommendations and the concierge can work from profile data and event content from the first event. Attendance forecasting needs past events, so start with simple rules and improve as data builds up.

Can AI features be added to our existing event app?

Yes. Recommendations, a concierge and reporting tools can be added to an existing app and backend in phases, connected to your current registration and ticketing data.

How do we keep attendee data safe?

Collect only what each feature needs, make networking profiles opt-in, encrypt personal data, set retention limits and give attendees a way to delete their data after the event.
